IRS Vehicle Declaration

An IRS vehicle declaration is a record submitted by employees that provides key details about their personal vehicle when participating in a tax-compliant mileage reimbursement program.

These declarations are usually completed when a driver joins a program and updated on a regular basis. They include information such as the vehicle’s make, model, year, MSRP, current odometer reading, and whether accelerated depreciation has been claimed.

Vehicle declarations are used in programs like Fixed and Variable Rate (FAVR), Tax-Free Car Allowance (TFCA), and Cents-Per-Mile (CPM). They help ensure that reimbursements are based on accurate and eligible vehicle data.

In FAVR programs, vehicle declarations play a particularly important role. Details like model year and MSRP are used to confirm that the vehicle meets program requirements for age and cost. If a vehicle falls outside those thresholds, or if accelerated depreciation has been claimed, a portion of the reimbursement may be treated as taxable income.

Keeping vehicle declarations accurate and up to date helps organizations maintain compliance, support proper documentation, and ensure reimbursements remain eligible for tax-free treatment.
